Five Filing Habits That Save an Hour a Week
Small changes to how documents are stored, from teams that never lose a file.
Filing is not glamorous, but the time spent hunting for a document is real and measurable. These five habits come from customers whose archives actually work.
1. Label the spine, not the front
Files live on shelves edge-on. A beautifully labelled front cover is invisible.
2. Date-range every box file
"Invoices" is not a label. "Invoices — Jan to Jun 2026" is.
3. Colour-code by department
One colour per department turns a wall of files into a map you can read from the doorway.
4. Archive annually, on a fixed date
Pick a week each year, move last year's files to archive storage, and free the working shelves. Without a fixed date it never happens.
5. Keep a retention schedule on the shelf
A single laminated sheet stating how long each document type must be kept prevents both premature shredding and infinite hoarding.
